POSITION: Executive Assistant (Part-Time)

PURPOSE: Assist the Executive Director and BID staff on the development, planning, and coordination of BID initiatives to accomplish the mission of the organization.

SALARY: $14.00/hour

Primary functions include, but are not limited to, the following:

  • Provide confidential administrative assistance and secretarial support to the Executive Director.
  • Responsible for correspondence with the Board, preparing Board and Executive Committee meeting materials, and creating minutes from Board, Executive Committee and other committee meetings as directed by the Executive Director.
  • Manage grants awarded to and disbursed by the BID, coordinating all communication with grantees and all administrative functions to ensure successful execution of grant process.
  • Administer organization-wide database. Manage individual records, create and maintain tenants, organizations, groups and mailing lists, create system efficiencies, and troubleshoot. Manage and maintain distribution lists.
  • Perform general office management duties including payroll, accounts payable, and order office supplies.
  • Track and analyze all inquiries, as well as fulfill requests from e-newsletter, phone calls, walk-ins, and web requests, including requests for publications, business development packages, resource kits, etc.
  • Assist BID staff on a project by project basis as assigned by the Executive Director.
  • Answer telephone inquiries in an efficient and accurate manner processing calls accordingly and manage voice mail system keeping it current and up-to-date.
  • Retrieve, open, and disseminate mail.
  • Assist staff on development of collateral materials, design input, copy input, and data collection as needed.
  • Assist in the planning of and participate in special events hosted by the BID as needed.
  • Additional duties as assigned by the Executive Director.


  • Associate’s degree or a minimum of three years related experience.
  • Strong public contact; diplomatic; people oriented; possess excellent communication, written and organizational skills. Ability to effectively present information and respond to questions from constituents, elected officials and general public.
  • Skill for creative writing, news releases, reports, and correspondence; desktop publishing a plus.
  • Proficient computer skills. Excel and QuickBooks experience a plus.
  • Creative, results-oriented, highly motivated, independent, out of the box thinker and team player able to juggle various projects simultaneously. Ability to take initiative to anticipate work needs without direction and meet aggressive deadlines and work under pressure.
  • Proven people and process management experience in a fast-paced, team-oriented, entrepreneurial environment.
